Understand access and privacy

Know who can do what and how records are shared.

Access follows the clinic role

Owner manages the clinic, team and billing. Doctor performs clinical work. Owner & doctor combines these responsibilities. Reception supports patient registration, appointments and billing, with selected extra permissions when granted.

A patient account is connected to its own chart through a verified invitation. Each clinic is a separate workspace; switching clinics changes the records and role available to you.

Share deliberately

Uploaded reports stay separate from reviewed and released reports. Clinicians decide what is released to the patient portal.

Documents use private storage and time-limited download links. Avoid forwarding private links or placing patient details in support requests.

Get help safely

For account access, first check which Google address you used. Ask your clinic to confirm the invitation address and role.

For product help, contact the Talven team with the page name and steps to reproduce the problem. Leave out patient names, clinical records and private invitation links.

When the page or action you expect is missing

Use the clinic switcher to confirm where you are working. Your account can belong to more than one clinic, and the same person can have different roles in each. Records and search results always follow the selected clinic.

Ask an owner to review your membership if a tool you need is unavailable. Adding a doctor profile without connecting your account does not grant clinical access, and being an administrative owner does not automatically permit clinical finalisation.

When a colleague leaves, review their clinic access and revoke unused pending invitations. Use individual accounts so work remains attributable to the person who performed it.
