This worksheet is for a small outpatient clinic comparing written vendor proposals. It is not a price survey, a savings claim or a Talven quotation. Talven is in demo and early access; commercial pricing has not been announced on the plans page.
Put every proposal on the same basis
Tell each vendor how many locations, doctors and staff accounts you need. Include a doctor who also owns the clinic: ask whether that person requires one account, multiple seats or an additional module. State whether reception and billing are handled by the same person.
Next, describe the work you need today. For example: patient registration, appointments, consultation notes, prescription printing, invoices and report sharing. Keep proposed future features in a separate list. You cannot fairly compare a working workflow with a promise that it will be available later.
Ask whether the quoted amount is monthly or annual, whether tax is included, and how long the price is fixed. Record the date and source of the quotation. A price copied from a search snippet may be incomplete or out of date.
Fill in the first-year worksheet
Use this table for each product. Write “included” only when the vendor confirms the scope; write “unknown” when a charge has not been explained. Unknown is not zero.

Keep recurring costs and one-time costs separate. Do not count an existing printer as a new purchase unless you actually need to replace it. Similarly, keep staff training time separate from cash paid to the vendor so you can see both clearly.
Check the arithmetic with an example
Suppose a fictional proposal quotes ₹1,500 per month, ₹3,000 for setup and ₹5,000 for equipment you need to buy. The first-year subtotal would be 12 × ₹1,500 + ₹3,000 + ₹5,000 = ₹26,000, before any applicable taxes, usage charges or other costs. These amounts are illustrative, not observed market prices or Talven prices.
For an annual contract, use the actual annual quotation rather than multiplying a promotional monthly headline. Compare the renewal amount as well as the introductory amount. A useful comparison sheet has separate columns for the first year and the next year.
Do not subtract assumed time savings from the price. During a trial, observe how long real tasks take, including corrections and interruptions. Treat those observations as evidence to discuss with the team, not a guaranteed financial return.
Ask about costs that appear after the demo
- If a second doctor joins, what changes in the bill and permissions?
- Are appointment reminders included, and which channel actually works today?
- Can the clinic use its existing printer and prescription paper size?
- What happens when the storage allowance is reached?
- Does moving historical data include checking identities and attachments?
- If the clinic stops using the product, which records can it receive and in what format?
An export of patient names and phone numbers is not the same as a complete export of consultations, reports and invoices. Ask for a sample and compare it with your requirements. Likewise, recording a payment inside software is separate from collecting or verifying that payment.
Make the purchase decision task by task
Attach a short trial result to the price comparison: “Reception completed registration,” “prescriptions printed correctly,” or “historical import still needs clarification.” Ask the staff who will use each workflow to try it. Include an exception such as a partial payment or two patients sharing a phone number.
